The budget for a corporate Christmas party depends not only on the number of guests, but also on the format, venue, catering, technical production, décor and entertainment. Defining the main priorities from the outset helps ensure that the budget is allocated effectively.
When planning an event, the budget is usually divided between several key areas: venue and equipment, catering and beverages, technical production, décor, music and entertainment, and event management.

Start with the format and number of guests
A cocktail reception, gala dinner or themed party requires a different approach to budgeting. The number of guests directly affects the size of the venue, the amount of food and beverages, furniture requirements and the number of service staff needed.

Set your priorities
Not every element needs to be elaborate. For one event, the focus may be on the stage and entertainment; for another, impressive décor; and for a third, exceptional food and atmosphere.
When priorities are clear from the beginning, the budget can be allocated much more effectively.

Plan for the less visible costs
Transport, set-up and dismantling, additional technical hours, staff, security, cloakroom services or work outside standard hours are often overlooked in the initial calculations. These costs can have a significant impact on the final event budget.
It is also good practice to allow a contingency of around 10% for changes and additional expenses.
